We collect and use personal data to manage our relationships with our members and

supporters, and to better understand how we can improve the work we do. Please

read this privacy notice carefully to help you understand how we collect, use, and

store your personal information. This privacy notice tells you what to expect us to do

with your personal information.

Where we collect information from


We collect information in the following ways:

● Information you share with us: We may obtain personal information from

you when, for example, you sign up for one of our workshops, apply to

become a volunteer, take part in an event, make a donation, become a

member, or join our mailing list.

● Information from Third Parties: We may receive information about you from

independent third parties, but only where you’ve given them permission to

share it with us. For example, fundraising sites like JustGiving might pass

along your information. You should check their privacy notice when you

provide your information to understand how they handle your information.

Once we get it, it will be covered by our privacy notice as well as by the

originating third party.

● Information we get from your use of our website and activities: We may

collect information about the activities and platforms you engage with and how

you use them, like when you engage with our newsletters, visit our website, or

view and interact with our content.


Information we collect


The types of personal information that Cultural Purbeck collects may include:

● Your title, name, gender, and age range

● Your contact details (address, email, phone number and social media contact

details);

● Your professional activities and employment details;

● Current interests and activities;

● Gift Aid status and records of donations;

● Contact preferences;

● How you interact on our website;

● Your bank or credit card details in line with payment card industry standards;

and,

● Any other information provided by yourself at the request of Cultural Purbeck


Where appropriate, we may also ask your interests and motivation for supporting

Cultural Purbeck although we will never make this question mandatory, and only

want to know the answer if you are comfortable providing us with that information.

In some limited circumstances, the personal information that Cultural Purbeck

collects may include information that is considered 'special category data’. This is

personal information regarding racial or ethnic origins, political opinions, religious

beliefs, and health (including mental health). Where this information is collected, we

will tell you, so you know why it is needed.


What we do with your information


If you have become a member of Cultural Purbeck we will use your information to

run, fund, develop and evaluate the relevant activities of Cultural Purbeck.

If you support us, for example by donating, volunteering, registering to fundraise, or

signing up for an event, we will mainly use your information to:

● Provide you with the information, activity, or services that you asked for;

● Provide you information about other activity or services we think might interest

you where you have consented to being contacted;

● Administer your donation or support your fundraising, including processing

Gift Aid;

● Send you surveys,

● Invite you to events;

● Keep a record of your relationship with us and record the contact we have

with you;

● Ensure we know how you prefer to be contacted; and

● Conduct data quality tests to improve insights, functionality, and the overall

performance of our technology systems, reporting and infrastructure.


We use tracking tools to improve the effectiveness of our communications with you,

including tracking whether you open emails we send you and which links you click

within a message.

personal information you think is inaccurate or incomplete.

● Your right to erasure - You have the right to ask us to delete your personal

information.

● Your right to restriction of processing - You have the right to ask us to limit

how we can use your personal information.

● Your right to object to processing - You have the right to object to the

processing of your personal data.

● Your right to data portability - You have the right to ask that we transfer the

personal information you gave us to another organisation, or to you.

● Your right to withdraw consent – When we use consent as our lawful basis

you have the right to withdraw your consent at any time.


If you make a request, we must respond to you without undue delay and in any event

Our lawful bases for the collection and use of your data


Under the GDPR and the DPA, we must have a legal reason to collect, keep and use

We process your personal data for our legitimate interests in pursuit of our

objectives. When we process your personal information for our legitimate interests,

we make sure to consider and balance any potential impact on you and your rights

under data protection laws. We will always ensure that your personal data will not be

used where our interests are overridden by the impact on you.


The following are some examples of instances where we process your data for our

legitimate interest:

● Direct marketing: We will send event marketing and fundraising requests

which further the aims and objectives of Cultural Purbeck and do not unduly

impact the rights of the individual.

● Profiling and analysing information: We carry out limited profiling and

research to help us understand our donors and potential donors, including

gathering information from publicly available resources to give an insight into

philanthropic interests and ability to support us.


Profiling and analysing information of our members and supporters


In order to tailor the type and level of support we ask you for, we may analyse

personal information we collect about you, including how you have engaged with us

previously, demographic information, interests and networks.


How long we keep information


We keep personal information only for as long as it is necessary for the purposes it

was collected.


If you have signed up to receive email updates from us, we will keep your contact

details until you unsubscribe or ask us to delete them.


We may retain some information for longer where required to meet legal, regulatory

or accounting obligations, or to resolve disputes.


We regularly review the personal information we hold and securely delete or

anonymise data that is no longer needed.


Who we share information with


Data processors

We use data processors to help us deliver our services. These processors act

on our instructions and are required to keep your information secure.


Mailchimp

Mailchimp is used to manage and send our email newsletters.


Other organisations we may share information with

We may share personal information with professional advisers, such as legal,

financial or governance advisers, where this is necessary for the administration

of the charity or to meet our legal obligations.


We do not sell or trade your personal information.


How we keep your data safe

We aim to ensure that there are appropriate physical, technical and managerial

controls in place to protect any personal information you may provide to us. Within

our organisation, all our data handlers receive training on handling data securely.

Where we use external companies to collect or process data on our behalf, we carry

out comprehensive checks on them before we work with them and ensure that

contracts are in place that set out our expectations and requirements. Despite all of

our precautions, no data transmission over the internet can be guaranteed to be 100% secure. So, whilst we will always strive to protect your personal information,

we cannot guarantee the security of any information which you disclose to us and so

wish to draw your attention that you do so at your own risk.
